What information do we collect from you?

During the registration process, or when you apply through our website or the registration software to volunteer, run a panel, etc. we may ask for your name, physical address, E-mail address, telephone number, emergency contacts, or other personal information. With the exception of your legal name, which must match the name on your photo ID in order for us to admit you to the event, your giving us this information is voluntary. By giving us this information, you allow us to help you to benefit from the event.

What do we do with the information you give us?

We use the information that you provide only to assist us internally to provide a good, safe experience at our event. For example, we need your physical address in order to send you any lost-and-found items or to ship your swag to you. We need your emergency contacts in the event of an emergency. If you’d like to host a panel, we need to contact you to discuss and schedule your panel, and so on. We may send you a small number of E-mails throughout the year to let you know about things that are of general interest to event attendees (e.g. the opening of the hotel room block, or asking if you’d be interested in hosting a panel). We won’t spam you, and you can opt out of any communications by unchecking that box on your registration.

Who can see my information?

No one has access to our servers except for registration and programming staff and volunteers, as well as our agents from our software vendors only as needed for technical support. Everyone who can see your information operates under a non-disclosure agreement. We do not sell or share any of your information with any third parties, except that we may provide our attendee list to our venue to assist them in hosting the event. We may also disclose information if it is reasonably necessary to satisfy any court order, applicable law or regulation, or other enforceable government request, to prevent fraud, or to protect the event or its attendees from harm.

How do we store your information?

Our servers use industry-standard security protocols; however, it is impossible for us to guarantee completely that our servers will not be maliciously attacked or compromised, so your provision of information to us is at your own risk.

Can I change or delete my information?

You can change your information on our registration server almost all the time, except when we have to take the server offline in order to support the event. If you do not want us to retain your information after the event is over, there is a checkbox in our registration software to delete your account.

Can this privacy policy change?

Yes, although we do not anticipate any changes. However, if we do have to change it, we will make a reasonable effort to notify you, and your continued usage of our website or registration software is subject to the updated policy.

Is there anything you, as an attendee, need to do?

You should carefully protect your username, password, and any personal information so that third parties can’t access your account or assume your identity. Please do not use an obvious password.

Regardless of your location, your information is subject to the laws of the United States of America and of the State of California.

Cookies

The ConCat registration software may write a cookie to your web browser to enable it to function. You are welcome to reject this cookie; however, in that case we cannot guarantee you will be able to register. In no case can this cookie access any of the other information on your hard drive.
